A San Francisco-based LegalTech startup using AI to simplify the immigration processes for lawyers, employers, and individuals. The platform streamlines difficult immigration processes to make them more intuitive and accessible for individuals, help lawyers communicate and collaborate effectively with their clients, and help employers manage simultaneous processes for multiple employees easily and save time.

User Flows: Identifying pain points to guide design solutions.

I was tasked with redesigning Formally’s template library organization system as part of a design exercise to improve its usability and scalability. The scope of the project, outlined by the CEO, included 4 key pain points: 1) difficulty in finding templates, 2) confusion between source and spawned templates, 3) limited version control, and 4) lack of ownership visibility. I started by aligning on the target audience and goal of this feature, which was to create easier/smoother template creation, management, and collaboration processes primarily for petitioners who create, edit, and review templates.

To tackle these challenges, I began by identifying the main pain points experienced by these users and mapping user flows to pinpoint inefficiencies and bottlenecks in the current system. The redesigned workflows included brainstormed features like advanced search and filter mechanisms, collapsible views for better organization, and a clear distinction between source and spawned templates. I also proposed solutions for version control, such as a visual timeline for tracking edits and side-by-side version comparisons. To enhance accountability, I integrated ownership tracking that displays both the creator and last editor for each template.

Next, I developed a cohesive design system that maintained visual consistency across the platform in typography, color palette, and icon library. I then created interactive prototypes on Figma that demonstrated key features I designed as solutions to each user pain point: grouped templates to distinguish between source vs spawned templates, advanced search and filtering options to help facilitate more intuitive search functionalities, version trail and side-by-side comparisons to improve the version control system, and additional column labelling to help with ownership and accountability tracking.

Design Rationale & Reflections

For each pain point outlined by the CEO, I organized the corresponding design solutions into clear categories and detailed how each feature addressed the problem. This included explaining the pain point being solved, the reasoning behind the feature's design, the specific usability improvement it would bring to users, and the success metrics I recommended tracking to measure the feature’s impact. For example, features like collapsible views and advanced filters were aimed at improving findability, with metrics such as search success rate and user satisfaction surveys as indicators of success.

Finally, I reflected on potential next steps and opportunities for improvement. Given more time, I would explore alternative workflows to better differentiate between source and spawned templates and delve deeper into user research to refine the versioning system. Additionally, I evaluated my design process, identifying areas for greater efficiency, such as streamlining initial problem exploration and iterating on usability testing earlier in the workflow.
